Limited website statistics

We use a deliberately restricted configuration of Firebase Analytics, powered by Google Analytics, solely to produce aggregate statistics that help us improve this website. We rely on the statistical-purposes exception in the Privacy and Electronic Communications Regulations for the limited storage and access involved. Where personal data is processed before statistics are aggregated, our UK GDPR basis is our legitimate interest in understanding and improving the website, balanced by the safeguards described below and your right to object.

What we collect

Google necessarily receives network information such as an IP address while processing an Analytics request, although Google Analytics states that IP addresses are not logged or stored. We have disabled granular location and device collection.

What we do not collect or use

We do not send names, email addresses, contact-form contents, booking information, search terms, URL query parameters or fragments, User-ID values, or other information intended to identify you to Analytics. We do not use Analytics for advertising, remarketing, profiling, audiences, personalisation, Google Signals or cross-session recognition. Analytics is not linked to Google Ads or BigQuery and is not used for Remote Config personalisation.

Session cookies and settings storage

When limited Analytics is on, Google may set _ga and _ga_<container-id> cookies. We configure these as session-only cookies so they expire when the browser session ends and are not used to recognise a browser on a later session.

If you turn Analytics off, we store ppc_analytics_opt_out_v1 in local storage so the website can remember and respect that objection before Analytics starts on future visits. The setting remains until you enable Analytics again or clear your browser storage. We use session storage to avoid repeating the short Analytics notice during the same browser session.

Your right to object

You can turn Analytics off at any time using Analytics settings in the footer. This immediately disables further Analytics collection, removes accessible Google Analytics cookies and remembers the objection for future visits. You can use the same control to enable limited Analytics again. Turning it off does not affect any website feature.

Who processes the statistics

Google processes Analytics information on our behalf and may process it on servers outside the United Kingdom using its applicable international data-transfer safeguards. We have disabled optional data sharing and do not permit use for advertising or other Google product integrations. You can read more in Google’s privacy policy.

Retention

Google Analytics event-level data is configured to use its shortest available retention period of two months, without resetting that period when new activity occurs. We use standard aggregate reports and do not export raw Analytics data. Aggregate reports may remain available for longer so that we can compare overall website use over time.

Contact enquiries

When you submit the contact form, we collect your name, email address, area of interest, optional instrument or voice, and message so that Portsmouth Piano Circle can respond. We process this information because it is necessary to deal with your request and because we have a legitimate interest in responding to genuine enquiries.

The form sends your enquiry through a Firebase Cloud Function and the email delivery provider Resend to contact@portsmouthpianocircle.co.uk. The website does not add enquiries to a database. Resend processes the email address, message content and delivery metadata and normally retains email data for 30 days. Resend’s primary processing takes place in the United States using its stated international-transfer safeguards. We keep the copy delivered to our inbox only for as long as reasonably needed to respond, administer attendance and maintain necessary correspondence.

We use validation, a hidden spam field, submission timing and short-term rate limiting to protect the form. We do not send contact-form information to Analytics or use it for advertising. Resend open and click tracking should remain disabled for this sending domain.

Mailing list

If you ask to receive meeting and concert updates, we use your email address only for those Portsmouth Piano Circle messages. Our lawful basis is your consent. Signup uses double confirmation: submitting the form sends a time-limited confirmation email, and we add the address to the mailing list only after its confirmation link is opened. The encrypted token is kept in the URL fragment and submitted securely by the website rather than included in the initial page request. This helps demonstrate that the address owner received the confirmation email.

Confirmed addresses are held as Contacts in a dedicated Resend Segment while subscribed. Resend processes the confirmation and mailing-list emails and associated delivery information, including through its primary processing operations in the United States using its stated international-transfer safeguards. We do not send mailing-list addresses to Analytics.

You can withdraw consent at any time using the unsubscribe link included in every mailing-list email, or by contacting us. Resend records the resulting opt-out so that the address is suppressed from future Broadcasts. We retain an address as an active Contact only while it remains subscribed, although a limited suppression record may need to remain so that we continue to respect an unsubscribe request.
